Casual - Office Receptionist

 Purpose: As a casual receptionist, working for various Departments, you will greet visitor, answer, and direct phone calls, and provide general administration support, ensuring a professional and welcoming environment for all who enter the building. 

 Job Summary: The Casual Receptionist is responsible for providing a positive and professional first impression to visitors and clients, while also assisting with general administration tasks as needed. This is a flexible, on-call position, with varying hours and duties based on the needs of the organization.

Pay Grid Range: $21.05 - $24.34 pending on experience

 RECEPTION:

  • Greeting visitors to the administration Office, answer phone calls, take messages and provide office support for other departments.
  • Band Administration Office - shall also be responsible for booking the Kwah Hall events, Carrier Ball Field bookings and the Sowchea Beach Camp Lot bookings.  Upkeep of all public postings on the Kwah Hall and Administration bulletin boards.
  • Determine visitors’ needs and direct them to the appropriate staff member.
  • Provide general clerical support for the administration office.
  • Answer incoming telephone calls courteously and promptly.
  • Screen and forward calls to the appropriate staff members or take message in their absence.
  • Update and distribute the Band telephone directory as changes occur.
  • Arrange to send and receive Courier (Purolator/DHL) deliveries.
  • Type, photocopy and compile letters, memos, notices, or other documents and reports as requested by the supervisor.
  • Keep front area of office neat and remove excess debris from desks.
  • Monitor telephone answering and mailbox service to ensure that it is kept up to date functioning properly.
  • Monitor general mailbox and record messages for distribution to appropriate staff members.
  • Answer routine enquiries from visitors and direct them to the appropriate staff or take accurate messages in the staff person’s absence.
  • Keep accurate records of where persons away at meetings are and when they will return.
  • Operate office machines and equipment.
  • Ensure that all windows and doors are locked and secured at the end of each workday.
  • Ensure that all heaters and coffee makers are turned off a the end of the day.
  • Other duties as may be assigned by the supervisor.

 Requirements:

  • High School Diploma
  • Effective working skills of MS Word, Excel, and e-mail.
  • Knowledge of standard office procedures and practices.
  • Clear written and verbal communications.
  • Good time management skills and attention to detail.
  • Able to deal with people sensitively and politely.
  • Strong work ethic and positive team attitude.
  • High degree of professionalism, honesty, and confidentiality.
  • Valid BC Class 5 Driver’s License.

 Working Conditions

  • Meeting people, making phone calls, and sending emails.
  • Extensive computer usage and sitting for extended periods of time.
  • Manual dexterity required to use desktop computer and peripherals.

 Hours of Work

 Hours and days of work will vary and are not guaranteed – this is casual, on-call work on an as-needed basis.
